Online Proctoring Guide for Instructors

SmarterProctoring is available only by request and only for high-stakes exams (exams worth 15% or more of the course grade) in online courses. Instructors teaching face-to-face courses are encouraged to take advantage of no-cost proctoring through the FSU Testing Center, in-class proctoring solutions (e.g., Akindi forms, lockdown browsers, polling), and alternative means of assessment where possible.

Before we can enable SmarterProctoring in your course, be prepared to do the following:

1. Verify that all fees associated with online proctoring have been disclosed in the syllabus distributed to students on the first day of class. See What to Tell Students for recommended disclosure language.
2. Provide an alternative testing option for students who prefer to take their exam in-person at an FSU-approved testing facility near them. This ensures that students living on or near the Tallahassee or Panama City campus have the option of testing at the FSU Testing Center or Gulf Coast State College Testing Center. It also offers an alternative option for students who do not have access to a private testing space or cannot meet the minimum technical requirements for online proctoring.

While SmarterProctoring’s fee structure is higher than traditional AI-based proctoring, it is less than or comparable to fees charged by most in-person proctored testing facilities. Fees vary based on the set exam duration, and students scheduling less than 72 hours in advance will be charged an additional fee. 
 

*Students with extra-time accommodations will pay the same fee as those without extra-time accommodations.

Because SmarterProctoring relies on human proctors, students must schedule an appointment to use SmarterProctoring, just as they would when testing with an in-person proctor. Please encourage your students not to delay scheduling their appointment as slots fill quickly, especially during peak testing times. 

• Appointments are offered 7 days a week (including evenings), providing scheduling flexibility for students located in different time zones.
• Encourage students to schedule an appointment at least 2 weeks before the exam date. Not only do late scheduling fees apply for appointments made less than 72 hours in advance, but students risk missing their exam entirely because they may be unable to find an appointment.

Set up your exams in both Canvas and SmarterProctoring early in the semester. Ensure the exam name, duration, and dates are accurately set before the exam scheduling window opens. All exam settings and content should be finalized for Testing Center review at least 14 days before the scheduled exam start date. See the  Preparing Your Test page for details.

Be prepared to set up extra-time accommodations in both SmarterProctoring and Canvas before students schedule their exams. This ensures your students will have access to appointment slots that reflect the amount of time they need to complete their exam.
